Beyond Whistler — Booking and Guest Experience Policies

At Beyond Whistler, every journey is meticulously planned to deliver an exceptional mountain experience. To ensure seamless coordination and guest safety, the following policies outline our booking, payment, and operational standards.

Booking and Payment

  • Advance Bookings: All experiences require advance reservations, with a valid credit card and a 25% deposit required at the time of booking. Please contact Beyond Whistler directly to arrange your adventure.

  • Pricing: All pricing is listed in Canadian Dollars (CAD).

  • Private experiences: A private guide requires a minimum equivalent of four guests. A minimum fee applies to private experiences—please inquire for details.

  • Custom and Special events:

    • Payment schedule: A non-refundable retainer of 20% of estimated costs is required upon receipt of an initial estimate. For events coordinated within 30 days of departure, full payment (100%) is required in advance.

    • Non-refundable retainers: These retainers cover the pre-allocation and coordination of essential resources, including guides, aircraft, catering, and equipment.

  • Final payments: Payments are processed according to the booking schedule or within 14 days of arrival, depending on the event type.

  • Credit card fees: A convenience fee of 3.75% applies to all credit card transactions.

Cancellations and Refunds

At Beyond Whistler, guest safety and experience quality are paramount. Weather and mountain conditions can change quickly, and we adjust operations accordingly.

  • Company cancellations:

    • If Beyond Whistler cancels your experience due to weather considerations or helicopter availability, a full refund will be issued.

    • We highly suggest you purchase trip cancellation insurance to ensure your peace of mind should you need to cancel your plans.

  • Guest Cancellations:

    • Date changes can be made up to 14 days prior to your trip date. If you cancel 14 days prior to the trip date (or before), 100% of the cost will be refunded.

    • If you cancel 7-13 days prior to the trip date, 50% will be refunded.

    • If you cancel within 7 days or less, 100% will be charged.

Liability and Safety

Your safety and comfort are our highest priorities. Every Beyond Whistler experience is designed with expert planning and strict safety protocols.

  • Waiver forms: All guests are required to sign a waiver prior to participation.

  • Acknowledgement of risk: Mountain travel involves inherent risks, which are outlined in our participant disclaimer.

  • Insurance: Guests are strongly encouraged to secure comprehensive personal travel and medical insurance.

  • Health and wellness: Participants must be in appropriate physical condition for their chosen adventure. Beyond Whistler maintains a zero-tolerance policy for intoxication or substance use.

  • Equipment: Safety equipment, such as helmets, may be required for certain experiences.

  • Backcountry access: Access to backcountry terrain is dependent on environmental and operational conditions and cannot be guaranteed.

Additional Information

  • Children and accessibility: Guests with limited mobility or special requirements may need additional guides. Please inform us of any needs at the time of booking.

  • Health and safety protocols: Beyond Whistler maintains current health and hygiene standards, including screening or mask use when necessary.

  • Daylight operations: All flights operate exclusively during daylight hours to ensure safety and visibility.

  • Remote locations: Many experiences take place in remote mountain environments where amenities such as running water or rest facilities may not be available.

  • Photography and media: Professional photography and aerial filming packages can be arranged upon request.
